Four questions before you commit
Search for a class booking tool today and you'll find a dozen providers with nearly identical landing pages. SimplyBook.me, YOGO, Zenamu, SuperSaaS, and plenty more — all promising "effortless class booking." The real question isn't which one has the prettiest homepage, but which criteria actually determine whether a tool fits your studio.
This isn't a ranking or a recommendation for any specific product. It's a checklist of questions we'd suggest asking before committing to any booking tool — ours included.
1. Pricing model: per member, per booking, or flat rate?
Booking tools charge in very different ways. Some charge a flat monthly fee regardless of studio size, others scale with member count, and others scale with booking volume. For a small studio with 30 members, a tool with a booking cap can be cheaper than one with a flat rate — at 300 members that math can flip entirely. Work out your actual monthly booking volume before picking a plan, not just the sticker price.
2. Is there a genuinely free way to start?
A "14-day free trial" is different from a permanently free tier. If you're just starting out and don't yet know whether a piece of software fits how you run classes, a free tier with no credit card requirement is the lower-risk way in. BooklyFit, for example, offers 15 free bookings a month with no credit card required — enough for a very small studio to run on entirely, and enough to test drive without handing over a payment method.
3. Data protection compliance and hosting location
For studios based in the EU, where member data is hosted isn't a footnote. Plenty of international booking tools default to US hosting and only offer EU hosting on higher tiers, or not at all. Ask directly: where is the data stored, is there a data processing agreement available, and is the provider actually set up for GDPR compliance? That's a question worth resolving before you sign, not after.
4. Waitlists: automatic or manual?
Almost every tool advertises a "waitlist feature." The difference is in the details: does the next person get promoted and notified automatically when someone cancels, or do you have to manually check the list and message people yourself? For a well-booked schedule, this isn't cosmetic — it's the difference between a freed-up spot actually getting refilled and it just sitting empty.
5. Drop-in bookings for guests without an account
Traveling athletes, trial members, or people who just want a single class usually don't want to create a full membership account first. Check whether the tool supports drop-in booking via a link or QR code with no registration required — and whether payment is built in, or has to run through a separate system.
The criteria, summed up
A pricing model that fits your studio's size, a risk-free free tier, GDPR-compliant EU hosting, a genuinely automatic waitlist, and frictionless drop-in booking — those are five concrete questions that let you compare most providers in a few minutes. Everything else is usually a matter of interface taste.
